Privacy statement Machiavelli

Study Association Machiavelli and Boekverkopers.com B.V., with the trade name Smartbooks, as the executor of the order, use the data provided to it exclusively for the execution of the concluded agreement to inform you as a buyer about the processing of orders and to deliver your order.
Through the website and/or webshop of Machiavelli personal data are processed. Personal data are data that can be traced back to a data subject, you as a consumer in this case. Machiavelli considers careful handling of personal data to be of great importance. Personal data are therefore carefully processed and secured by us. In our processing, we adhere to the requirements set by privacy legislation. This means, among other things, that:
- we clearly state the purposes for which we process personal data. We do this through this privacy statement;
- we limit our collection of personal data to only those personal data that are necessary for legitimate purposes;
- we first seek your explicit consent to process your personal data in cases where your consent is required;
- we take appropriate security measures to protect your personal data and require the same from parties processing personal data on our behalf;
- we respect your rights to make your personal data available for inspection, correction or deletion at your request;
Machiavelli is the data controller. In this privacy statement, we explain which personal data we process, what we do with your data and your rights as a data subject. Machiavelli will only use your personal data in accordance with the purposes described in this statement, and will make every effort to protect the personal data processed.

Processing of personal data

. When using our online shop, we obtain certain data from you. This may include personal data. We only process the personal data that is provided directly by you, in the context of the service you have requested, or which, when provided, it is clear that it is provided to us for processing. We process the following personal data from you - Name and address details
- Telephone number
- Billing address
- Email address
- Payment details
- Gender

Purposes and bases of processing

The purposes of this data processing are diverse:

- Register
Certain parts of our web shop require you to register first. After registration, we save the personal data you provide via your chosen user name. We save these data so that you do not have to fill them in every time and so that we can reach you within the framework of the execution of the agreement. We will not provide the data linked to your user name to third parties, unless this is necessary within the framework of the execution of the agreement you conclude with us or if this is required by law. In the event of suspected fraud or abuse of our web shop, we may hand over personal data to the competent authorities.

- Processing orders
When you place an order with us, we use your personal data to process it. If necessary for a proper handling, we may also share your personal data with third parties. - Contact form
Through our webshop, we offer the possibility to ask questions by means of a contact form, where you are asked to fill in various data to handle your question. You choose which data you provide. The data you send us will be kept as long as necessary according to the nature of the form or the content of your e-mail for a complete response and processing. The legal bases for this processing are the execution of the agreement, consent given by you (e.g. to receive your order and send an invoice) or our legitimate interest, which we will always weigh up against your rights and freedoms as a data subject. If you have given consent for a certain processing, you have the right to withdraw that consent. Withdrawal of your consent does not make previous processing based on your consent unlawful, but ensures that the processing must be terminated and your data (after expiry of any legal retention period) must be destroyed.

- Provision to third parties and processors
We provide personal data to third parties as necessary for the above purposes, namely the supplier or local entrepreneur delivering the product, the delivery service provider taking care of payment and the host/operator of our website. Your data will not be provided to third parties other than our processors without your prior consent. Where necessary, processing agreements are concluded with third parties who carry out certain processing on our behalf.

- Security
We take security measures to limit misuse of and unauthorised access to personal data. Please refer to our separately published security policy for more information.

- Retention periods
The personal data described above will be kept for as long as necessary in the context of the purpose for which it was collected, e.g. as long as necessary to fulfil your orders (including warranty). As all customers are Machiavelli students, data will be deleted after 5 years (maximum duration of study) of inactivity of your account, unless there is a legal obligation that requires longer retention (such as the seven-year tax retention obligation for financial data).

- Third-party websites
This privacy statement does not apply to third-party websites that are connected to our online shop through links. Machiavelli makes very sporadic use of these on its website and in its webshop. We cannot guarantee that these third parties handle your personal data in a reliable or secure manner. We advise you to read the privacy statements of these websites before using them.

- Your rights
You have the right to access the data we process about you. You also have the right to request correction, blocking and/or deletion, as well as the right to object to processing and the right to data portability. Furthermore, if you see reason to do so, you can file a complaint with the Personal Data Authority.

For questions about our privacy policy or requests to exercise the above rights, you can contact us at any time using the details included at the bottom of this statement. To prevent abuse, we may ask you to identify yourself adequately when doing so. When it comes to access to personal data linked to a cookie, you must send a copy of the cookie in question. You can find this in the settings of your browser. If the data is incorrect, you can request us to change or remove the data. We will answer incoming requests within four (4) weeks of receipt. A request for deletion can be made via email. You will receive a response from us by return.
